1. Who we are

MA Utility Solutions ("we", "us", "our") is an independent UK brokerage helping homeowners and businesses find better deals on energy, water, solar and building trades. This policy explains how we collect, use and protect your personal data when you use our website or contact us, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The data controller is MA Utility Solutions Ltd, a company registered in England & Wales (company number 17283404), registered office 122 Bushbury Road, Birmingham, B33 9NJ. We are registered with the Information Commissioner's Office under registration number ZC203801.

2. What data we collect

We only collect data that you provide to us directly, primarily through our contact and feedback forms. This may include:

• Name
• Email address
• Phone number
• Postcode
• Whether your enquiry is for a home or a business, and your business name if you give it
• Service(s) you're interested in or have used
• Your current supplier and contract end date, if you choose to share them
• Details of your enquiry or feedback you choose to share

When you use one of our forms, our spam protection (Cloudflare Turnstile — see section 4) also processes limited technical information from your browser and device, such as your IP address.

We do not collect financial, banking or payment card details through our website, and we never ask for passwords or account credentials for your existing suppliers.

3. How we use your data

We use the data you provide to:

• Respond to your enquiry and arrange a consultation
• Compare deals across the market on your behalf, once authorised (e.g. via a Letter of Authority)
• Manage your account and any ongoing service with us
• Improve our website and services based on feedback
• Meet our legal, regulatory and contractual obligations

Our legal bases for using your data are:

• Taking steps before a contract, and performing it — when you ask us about our services, and once you engage us (UK GDPR Article 6(1)(b)).
• Legitimate interests — responding to enquiries and feedback, keeping our forms free of spam, and running and improving our business (Article 6(1)(f)).
• Legal obligation — keeping records we're required to keep by law (Article 6(1)(c)).
• Consent — only where we specifically ask for it, such as the optional tick-box allowing us to publish your feedback as a testimonial. You can withdraw consent at any time.

4. Who we share data with

We only share personal data where necessary, and never sell it. Third parties we may share data with include:

• Form processing service (Web3Forms) — used to route enquiry and feedback form submissions to us.
• Microsoft 365 — used for email and, for business customers, appointment booking via Microsoft Bookings.
• Cloudflare — our website hosting and content delivery provider. We also use Cloudflare Web Analytics to count visits and measure how quickly our pages load (see section 5).
• Cloudflare Turnstile — spam protection on our contact and feedback forms. It checks that a real person, not an automated bot, is submitting the form, using technical information from your browser and device such as your IP address.
• Energy, water and solar suppliers — only where you have authorised us to act on your behalf (e.g. via a Letter of Authority), and only to the extent needed to obtain comparisons or process a switch.

We do not share your data with third parties for their own marketing purposes.

Some of these providers (Web3Forms, Microsoft and Cloudflare) may process data outside the UK. Where they do, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge.

5. Cookies and external resources

Our website keeps things simple: we do not use cookies for analytics or advertising, and we do not track you across other websites. Everything on our pages — including fonts — is served from our own website, apart from two Cloudflare services:

• Cloudflare Web Analytics — on every page, to count visits and measure page speed. It doesn't use cookies or build a profile of you; it processes limited technical information (such as your IP address, browser and the page you visited) to produce overall statistics.
• Cloudflare Turnstile — on our contact and feedback pages only, to protect the forms from spam (see section 4).

6. Data retention

We keep personal data only for as long as we need it:

• Enquiries that don't lead to working together — up to 12 months from your last contact with us, so we can follow up or pick up where we left off if you get back in touch.
• Clients — for as long as we work together, then 6 years after our relationship ends, to meet legal, accounting and regulatory requirements and to deal with any claims.
• Feedback — kept for internal review in line with the periods above. If you consented to it being published as a testimonial, you can withdraw that consent at any time and we'll remove it from our website.

7. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request erasure of your data, in certain circumstances
• Object to or restrict certain processing
• Withdraw consent at any time, where processing is based on consent
• Request a copy of your data in a portable format

8. Complaints

If you're unhappy with how we've handled your data, please contact us first via ourComplaints Procedure page so we can try to put things right. You also have the right to lodge a complaint with the UK's supervisory authority, the Information Commissioner's Office (ICO), atico.org.uk.
